Privacy policy
Last updated 27 October 2026
ReplyNav is a desktop application for Windows and macOS that runs on your computer. This page describes what it does with your text, where your settings live, what happens when you buy ReplyNav Pro, and what this website collects.
What the application sends, and when
ReplyNav sends text only when you choose a mode or a quick action: Reply, Improve, Check writing, Translate, Summarize, Explain, Answer, or a prompt of your own. Selecting text, typing, and hovering send nothing.
With a cloud provider, the text goes to the provider you configured, using the API key you entered. With Apple Intelligence on a Mac, the text is processed by the model built into macOS and is not sent to a cloud provider by ReplyNav.
What is sent
- Text you select, text recognized from an area you draw in Pick text, or the contents of a field a quick action works on.
- Your chosen mode and its settings, such as tone, length, and target language.
- Context you added, and the personal context you filled in, for modes that write on your behalf.
What is never sent by the application
- The contents of password fields and other protected fields. ReplyNav skips them before reading any text.
- Keystrokes. ReplyNav observes accessibility change events; it contains no keyboard hook.
- Screen images used by Pick text → Area. ReplyNav captures only the area you draw and runs OCR locally. The image is not sent to your AI provider; recognized text is sent only if you choose an AI action.
Your AI provider
The provider you select receives the text needed for the operation you asked for, under your own account and their terms. Their handling of that text is governed by their privacy policy, not this one. Review it before sending work material through any provider.
What is stored on your computer
- Settings, your prompts, and your personal context are stored in a local settings file. It never contains an API key.
- API keys and your licence are stored in Windows Credential Manager or the macOS Keychain, with a DPAPI-encrypted fallback for your user account when Credential Manager is unavailable.
- A rolling local log is written for diagnostics. It is redacted, and it never contains captured text, generated replies, or keys.
- Generated replies are not written to disk by the application.
Checking for updates
ReplyNav checks for a new version by downloading a small file that names the latest release. The request carries no text, settings, or licence.
Buying ReplyNav Pro
Purchases are handled by Paddle.com, our merchant of record. Paddle collects your payment details, billing address, and email address, charges the applicable tax, and sends the receipt, under its own privacy policy. We never see your card details.
To issue and deliver your licence, we use your email address from Paddle and the name you enter on this site, if any. Otherwise we use the name Paddle provides, or the part of your email address before @. We store the resulting name and email address with the transaction and licence IDs. Where you agree to the terms on this site, we also record the version and time of that acceptance. The licence contains the resulting name and your email address, which ReplyNav shows in Settings. We email the licence through Resend, which processes your address for that purpose.
We keep this record for as long as the licence exists, so we can send it again or help you with it. Ask us and we will delete it, which also means we can no longer resend the key.
This website
This website stores your language and appearance choices in this browser. It sets no advertising or tracking cookies and loads no analytics script.
When you download an installer, we count the download by date, installer, version and country. No IP address, cookie or other identifier is stored with the count.
It loads no third-party script until you choose to buy: then it loads Paddle’s checkout. The page that shows your licence may load Cloudflare Turnstile to tell people from bots when you ask for your key to be sent again.
If you write to the contact address, we hold that message for as long as it takes to answer you.
Changes
When this policy changes in a way that affects what is sent or stored, the date at the top of this page will change with it.
